Compress a PDF and Keep Text Selectable: What to Check

Learn when PDF compression preserves searchable text, when it turns pages into images, and how to check links, forms and readability before uploading.

By Naveed Published 5 min read

A compressed PDF can look correct while behaving differently. You open a smaller copy of a CV, the words appear on the page, but dragging across a sentence no longer selects it. A search for your name finds nothing. The file still contains a visible page, but that page may now be a picture rather than text objects.

Before compressing, decide what the recipient needs: a readable picture of the document, or a PDF with working text, links and fields. A successful file-size reduction does not automatically satisfy the second requirement. This guide explains the checks to make with Mb2KbSizer and when a different export method is the better choice.

First check what your original PDF contains

Open the original in a PDF reader and select a sentence. Copy it into a plain-text editor. Then search for an unusual word that appears halfway through the document. If both work, the file has usable text in at least that area. Repeat on a second page if the document combines exported pages with scans.

If selection does not work, you may have an image-only scan. However, a scan can also have an invisible OCR text layer, so appearance alone is not enough to identify it. A photographed page with searchable words is different from a photographed page without them, even when they look identical.

Make a short list of anything else you need to retain: clickable links in a CV, filled form values, bookmarks, comments or a signature. That list becomes your acceptance check after compression. Keep the original in a separate location so a download with a similar filename cannot replace your only copy.

How the current compressor chooses an output

Mb2KbSizer processes PDFs in your browser. Its current implementation follows three paths, depending on the original size and the options you choose:

Result path What the tool does What to check
Original Returns the file unchanged when it is already within the limit Confirm it is the file you intended to submit
Optimized Tries a re-save using compressed object streams Confirm required document features still work
Rasterized Renders pages and builds a PDF from compressed page images Expect text selection and interactive features to be lost

The optimization attempt is used before rendering when grayscale is off. If that attempt cannot meet the target, the tool moves on to page images. Selecting grayscale sends an oversized file toward that rendering path because the page appearance must be changed.

This is an explanation of this website’s current implementation, not a rule for every PDF compressor. Other applications can optimize images inside a PDF while retaining existing text objects. Adobe’s advanced optimization documentation describes separate controls for images, fonts, objects and user data; those controls should not be confused with flattening a whole page into one image.

Set a limit that matches the real requirement

If the recipient accepts 2 MB and your file is 1.4 MB, there is no practical need to force it to 200 kB. Choosing a much smaller target can push a document that would otherwise remain intact into the rendering path.

Read the upload instructions before entering a number. Check whether the maximum applies to one file or all attachments together, whether searchable text is required, and whether digitally signed documents must remain unmodified. Use the permitted budget to protect useful information rather than treating the smallest possible file as the best result.

For example, imagine a five-page CV and portfolio that must fit under 1 MB. Try that limit first. If the result remains selectable and readable, reducing it further offers little benefit for that submission. If the portal demands 100 kB for the same five pages, the constraint is much more severe; check whether it actually expects only the CV or permits separate attachments.

Check the downloaded file, not just the preview

The on-page preview helps compare appearance, but it cannot prove that every page or interactive feature survived. Download the candidate and open it in the reader you would normally use. Perform these checks before replacing the attachment in your application:

  1. Search for a word from the middle or end of the file.
  2. Copy a full sentence and check that the characters are in the right order.
  3. Open every page and inspect small text, dates and identification numbers.
  4. Click one required link and verify its destination.
  5. Check filled values and confirm whether fields still need to be editable.
  6. Confirm the page count and order against the original.

A document that passes the first two checks can still contain one scanned page without text. Similarly, a crisp first-page preview says nothing about a pale stamp on page four. Review the difficult parts deliberately rather than judging only the most attractive page.

What to do if text selection disappears

Return to the original and try a larger permitted target with grayscale off. This can allow the initial optimization step to succeed. It is not a promise: some PDFs are already compact, and the object-stream re-save may produce little reduction.

If you created the document in a word processor or design application, export again from that source. Reduce oversized embedded photos before export and retain actual text. Taking screenshots of pages or printing screenshots into a new PDF usually defeats the purpose when searchable text is required.

For a scanned source, OCR is a separate operation. Adobe describes OCR as a way to add searchable text to scanned documents, but recognition still needs checking. Names, decimal points and similar-looking characters are easy places for mistakes to matter. Mb2KbSizer does not add an OCR layer after its rasterized output, so use a suitable separate tool if that is part of your requirement.

Forms and signatures need an extra decision

A flattened page can show a filled form without preserving editable fields. That may be acceptable when the recipient requests a final visual copy, but unsuitable when they need to continue filling the form. Check the instructions rather than assuming appearance is sufficient.

A visible handwritten signature and a digital signature are also different. The first can be part of a page image. The second includes verification information associated with the document. Keep the signed original and confirm submission requirements before rewriting it. A visible signature mark in a compressed preview is not evidence that digital validation remains intact.

The useful stopping point is a file that meets the size limit and retains what its recipient needs. Use the PDF compressor for a candidate copy, keep your original, and choose the version that passes both the functional checks and the visual review.

Frequently Asked Questions

Does a smaller PDF always keep searchable text?

No. A PDF can be made smaller by re-saving its existing objects, or by turning each page into a compressed image. The second method can remove the text layer. Search for a distinctive word and try copying a sentence from the downloaded file.

Can Mb2KbSizer add OCR after compression?

No. The current compressor does not perform optical character recognition. If the output is rasterized, use the original when searchable text is required, or use a separate OCR workflow and verify its results.

Should I compress a digitally signed PDF?

Keep the signed original. Rewriting a signed file can affect signature validation, and rendering pages as images does not preserve the original digital signature. Ask the recipient for an accepted way to submit the intact signed document.

Is it safe to upload my PDFs to Mb2KbSizer?

Your PDF is never sent anywhere, so there is no upload to worry about. The browser opens the file locally, and both compression methods run on your own processor: the lossless pass re-saves the document with compressed streams, and the re-render pass draws each page and packs it into a fresh PDF, all in memory on your device. Our servers only deliver the page itself. This matters for the kind of documents people compress: ID scans, bank statements, offer letters, medical reports. They remain as private after compression as they were before you opened the tool.

What is Mb2KbSizer and what does it do?

Mb2KbSizer shrinks images and PDF documents to a size you choose, free of charge, without leaving your browser. Give the PDF compressor a file of up to 100 MB, enter a target in kB, MB or as a percentage of the original, and it works to bring the document under that figure. Typical jobs include getting a scanned marksheet below a portal's cap, squeezing a multi-page application form into an email, or lightening a report before sharing it. The same site offers an [image compressor](/) and a bulk image compressor, both built on the same no-upload approach.

Do I need to install any app to use Mb2KbSizer?

There is nothing to install. The PDF compressor is a normal web page that loads its compression code (Mozilla's pdf.js and pdf-lib) into the browser and runs it there. Any current version of Chrome, Edge, Firefox, Safari or Samsung Internet will do, on Android, iPhone, Windows, macOS or Linux. You can pin the page to your home screen through your browser's Add to Home Screen option if you like a one-tap icon, but it still fetches the page over the internet each time, so it is not an offline app. We publish nothing in any app store, and no software needs updating.
