Reduce a Scanned PDF's Size Without Making Text Unreadable

A practical workflow for smaller scanned PDFs: improve the source, choose color carefully, budget for page count and inspect small text before submitting.

By Naveed Published 5 min read

A certificate scan can be several megabytes even when it contains only a few lines of text. The PDF may be carrying a large photograph of the paper, including the desk, shadows, paper texture and camera noise. A compressor has to spend bytes on those details as well as on the words you actually need.

The best starting point is therefore the scan itself. A clean source gives a small file a better chance of staying readable. This guide takes you from checking the original to choosing a realistic target and reviewing the downloaded PDF. The example budgets are calculations, not measured promises about how your document will look.

Identify the page that will be hardest to compress

Look through the whole document before uploading it to the tool. Find the smallest type, the lightest handwriting and the busiest page. A cover sheet with one heading is an easy test; a transcript with tiny grades and a faint stamp is a much more useful one.

Try selecting a sentence. Some scans have a searchable OCR layer, while others contain only page images. If searchable text must survive, read the guide to preserving selectable PDF text before proceeding. A smaller visual copy and a searchable document are different requirements.

Also check whether every page belongs in the submission. Remove an accidental duplicate or blank back page only when the recipient does not require it. Do not omit required pages, margins or certification marks merely to hit a target. Compression should change delivery size, not the evidence the document contains.

Improve the source before lowering quality

If you can re-scan, place the page flat and align it carefully. For a phone capture, use even light and keep the camera parallel to the paper. Avoid a bright reflection across a plastic sleeve, and check the captured image before moving the document away.

Crop the surrounding desk without cutting off page numbers, stamps or edges that the recipient asks to see. A dark border or textured tabletop adds detail that does not help the reader. Straightening a tilted page can also make the final document easier to read, particularly when the receiving system shows a small preview.

These preparation steps take place in your scanner or document editor. Mb2KbSizer’s current PDF tool is a compressor, not a document editor with crop, deskew or page-removal controls. Prepare the source first, save a separate copy, and then open the PDF compressor.

Adobe’s scanning documentation separates resolution, color mode, image optimization and OCR settings. That distinction is useful even if you use another scanner: capturing clear text, choosing how color is represented, and making words searchable are separate decisions. Changing one setting does not automatically solve the others.

Divide the target across the page count

A target shown in the tool applies to the complete PDF, not each page. A quick division helps explain why the same target works for a one-page certificate but becomes harsh for a long transcript.

Total target Page count Average budget before PDF overhead
200 kB 1 200 kB per page
200 kB 4 50 kB per page
200 kB 10 20 kB per page
1 MB 10 100 kB per page

The actual allocation is not necessarily equal. Mb2KbSizer lets simpler rendered pages leave more room for later pages, and the PDF container also needs space. Still, the average is a useful warning: a very low budget across many pages is likely to force a stronger compromise.

If the form accepts 1 MB, begin there rather than selecting 100 kB because the number looks better. If the instructions demand a very small total, confirm whether they expect one document, selected pages or multiple separate uploads. Split a document only when that submission workflow allows it.

Choose color or grayscale for the document’s purpose

Grayscale can be suitable for ordinary black text on white paper. It is less suitable when color distinguishes annotations, chart lines, seals or other required details. A colored stamp may remain visible in grayscale but lose a distinction that matters to the reviewer.

Keep color when the recipient requests it. When grayscale is allowed, create a candidate and compare the difficult page against the original. Check whether faint writing remains visible and whether highlights now obscure the text underneath. The goal is not simply to make the paper look whiter.

On this site, grayscale is applied during page rendering for an oversized PDF. That path builds image-based pages and does not keep an existing selectable text layer. Leave grayscale off if you want the tool to attempt its initial object-stream optimization first, and check the output’s behavior as well as its appearance.

Use a repeatable compression workflow

Start with the untouched source each time you compare a new target. Repeatedly compressing a previously rasterized download can compound visible damage and makes it harder to understand which change helped.

  1. Record the receiving service’s file limit and any color or scan requirements.
  2. Add the prepared original to Mb2KbSizer.
  3. Enter the maximum useful target, using the correct kB or MB unit.
  4. Choose grayscale only when appropriate for the document.
  5. Compress and check whether the result actually reached the target.
  6. Download a separate candidate and open every page.

If the result misses the limit, do not submit it on the assumption that the requested number was guaranteed. If it fits but becomes unreadable, try a larger allowed target or improve the scan. The tool cannot make an arbitrarily complex document legible inside every possible byte limit.

Review details that can change the meaning

Inspect names, dates, identification numbers and decimal points at a useful reading size. Check the difference between similar characters, such as zero and the letter O. Look for thin signature strokes that have disappeared and fine table lines that now merge into characters.

Then view the page at the size a recipient is likely to use. A file that looks acceptable only at an extreme zoom level may still be inconvenient to review. Conversely, judge the document by readable content rather than demanding camera-original texture in the blank paper.

Finally, confirm page order, page count, orientation and the actual downloaded size. If the portal shows a preview after upload, open it before submitting the form. Keep the source and the accepted copy separately; the compressed upload is a delivery version, not a replacement for your best scan.

Frequently Asked Questions

Can a ten-page scan fit into 200 kB?

Some simple documents may become very small, but 200 kB across ten pages leaves less than 20 kB per page after PDF overhead. Readability depends on the source, text size and page detail. Do not assume an accepted file size means a usable document.

Should I always use grayscale for document scans?

Use it only when color carries no required information and the receiving service accepts it. Colored stamps, highlights, charts or security details may need to remain in color. Compare the original and output before submitting.

Does compression repair a blurry scan?

No. Reducing file size cannot recover characters that were out of focus or hidden by glare in the source. Re-scan or photograph the document clearly before trying another compression setting.

Do I need to install any app to use Mb2KbSizer?

There is nothing to install. The PDF compressor is a normal web page that loads its compression code (Mozilla's pdf.js and pdf-lib) into the browser and runs it there. Any current version of Chrome, Edge, Firefox, Safari or Samsung Internet will do, on Android, iPhone, Windows, macOS or Linux. You can pin the page to your home screen through your browser's Add to Home Screen option if you like a one-tap icon, but it still fetches the page over the internet each time, so it is not an offline app. We publish nothing in any app store, and no software needs updating.

What formats does Mb2KbSizer support?

This tool accepts PDF files only, up to 100 MB and with any number of pages. It cannot open a password-protected PDF; remove the password in the program that created it, then try again. Word, Excel or image files need converting to PDF first, which most phones and computers can do through Print to PDF or Save as PDF. The output is always a standard PDF with the original page sizes. If you want to shrink photos rather than documents, use the [image compressor](/), which handles JPG, PNG, WebP, GIF, BMP, AVIF and HEIC where the browser can decode it.

Do you store my PDFs?

We cannot store what we never receive. Because the whole process happens in your browser, no copy of your document, its pages or its text is written to our servers, and there is no account history tying files to you. The compressed PDF lands in your Downloads folder and nowhere else. Our hosting provider keeps standard server logs for page requests, which record things like IP address and browser type but never file contents. We also run no database. For a plain-language description of what little data the site does handle, see our privacy policy.
